Time for Change:-User Acceptance Training for Capturing SAP User Provisioning requirement from the End users.

When companies implement SAP Systems at different sites within an organization there is lot of work to map the existing access within the different systems to SAP system access.  Generally a lot of systems are consolidated and all the activities performed in different systems are now performed in SAP.  I have seen various approaches in accomplishing this task.  Some of the processes I have seen are following.

1.       A point person who sends out all the roles relevant to that particular site and asking the site representative to map the roles to the users.  This task will be easier if they have composite roles which reflect the job function of the users. 

2.       The change management team will have the knowledge and information on the users job function. So they can identify the roles for the users with input from the local site representative

3.       Training team is also a very good place for identifying the access the user will need in the sap system.  The Training team should insist of User acceptance training so the users get the required access. The users can also get used to the process of logging into the system.

 

Training is very critical to avoid lost of access issues in SAP systems.  Please add any additional process which worked in your company.
